
The Communications sub-menu item allows you to define or edit the email contents for all the email types (eg, invitations, reminders, approvals, etc.) which are also used as Microsoft TEAMS message content (applicable to TEAMS surveys only), which are sent to participants to coordinate the processing of the current project.
Click on the edit button (pencil icon) to edit the invitation or reminder email subject headings and content:

The text editor will be loaded. The example below portrays the Rater Nomination template in the text editor:

Content area – text to provide context for the survey or assessment and to motivate the addressees to participate. The content area of the email/TEAMS message must include the assessment/survey link button or the URL (inserted via auto-populated fields described below), without which the respondent could not access the questionnaire. To guard against accidental omission, the system will not send emails that do not contain either the link button or the URL. An activation checklist containing a hard-stop alert, triggered by a missing link or URL in the email content, will prevent the survey from starting.

Subject heading (compulsory) – add a subject heading for the various emails. Subject headings are compulsory; the system will not send emails without subject headings. An activation checklist containing a hard-stop alert, triggered by a missing email subject heading, will prevent the project launch. |

Auto-populated fields – inserted into the text by clicking on the auto-populated field while your cursor is positioned at the desired place in the text, these fields will be automatically populated with the relevant information when the email or TEAMS message is sent. Auto-populated fields are offered for insertion in various functions, but only those applicable to the context are listed in the text editor in each case. A full listing of all auto-populated fields comprises:
- +Assessment link – link to the assessment questionnaire for the online assessment. The +Assessment link option will add a button containing the Assessment URL to the email. Clicking the link button activates the link, permitting the respondent to complete the assessment. Please note that including the +Assessment link and/or +Assessment URL in the assessment email content is mandatory.
- +Assessment name – the name of the assessment as defined during project creation.
- +Assessment URL – add the full online questionnaire URL to the email contents. The respondent can either click on it or copy and paste it into a browser to achieve the same result as clicking on the link button inserted via the +Assessment link option. Please note that including the +Assessment link and/or +Assessment URL in the assessment email content is mandatory.
- +Candidate ID - not for general use (reserved for the Life Cycle product).
- +Employee ID - National ID of the respondent as defined in Manage PARTICIPANTS.
- +Client name – name of the licensed client.
- +Employee name – Preferred name of the survey or assessment participant.
- +Employee full name - Full name and surname of the participant.
- +Employee number - Employee number of the respondent as defined in Manage PARTICIPANTS.
- +Job - designation provided in the Job field in Manage PARTICIPANTS for the participant.
- +Partner name – name of the Mindset Consulting Partner (if applicable).
- +Survey link – link to the survey questionnaire for the online survey. The +Survey link option will add a button containing the Survey URL to the email. Clicking on the link button activates the link, permitting the respondent to complete the survey. Please note that including the +Survey link and/or +Survey URL in the survey email content is mandatory.
- +Survey name – the name of the survey as defined during survey campaign creation.
- +Survey URL – add the full online questionnaire URL to the email contents. The respondent can either click on it or copy and paste it into a browser, achieving the same result as clicking on the button inserted via the +Survey link option. Please note that including the +Survey link and/or +Survey URL in the survey email content is mandatory.
- +System admin email – email address of the client’s system administrator, including it in the email provides respondents with a contact for enquiries or first-line support.

Editor ribbon – provides functions necessary for editing the layout and formatting of the content text. |

Save – click on the Save button to save the email subject heading and content. |
